General Information

Four categories of sponsorship are available: Bronze, Silver, Gold, and Platinum.
Becoming a sponsor will grant certain privileges, such as having a logo displayed on the screen during session breaks, on the 17WCEE official website, and on the sponsor board inside the venue. Depending on the sponsorship categories, sponsors will also be provided with free conference ID passes, an advertisement in the program book, and the opportunity to hold a sponsor session, while also operating an exhibition booth.

*1 Sponsored sessions involve the sponsors’ technology related to the main theme of the conference.

• A. When holding a session, selecting and requesting speakers and all of the organizational elements will be done by the sponsor company or the sponsor organization.
• B. Each session will be allocated a maximum of 90 minutes.
• C. After the sponsorship decision has been made, if you would like to hold a session, please submit the session's theme and its outline.
• D. Sponsor sessions will consist only of presentations. Abstract or paper submission is not required.
• E. It is possible to have a presentation with the same content as paper you have already submitted.

*2 As an option for Silver Sponsors, a 30-minute presentation timeframe will be allotted.

The purpose of this exhibition is to provide information about earthquake engineering and its latest trends and research, while considering the points of view of the diverse 17WCEE participants with backgrounds in various industries, governments, and academia.

Notice

• Exhibition booth layout will be organized by 17WCEE.
• Only preapproved exhibit items will be accepted for display.
• The maximum height of exhibit items is 2.4m, and items must not be secured to the floor.
• Sales of exhibit items is prohibited.
• Water, propane, and compressed air are prohibited.
• An explanatory meeting for exhibitors will not be held.
• The details for the booth layout, carry in/set up, decoration, operation, and furniture and lighting rentals will be provided one month prior to the event.
• 17WCEE is not responsible for damage, loss, or theft of exhibit items.
• The event venue, dates, and time may change due to unforeseen circumstances.
• If a natural disaster, accident, robbery, loss, or man-made disaster occurs, you may not cancel your exhibition application, and you will not be compensated for any damages that may occur.

Payment Methods

All payments must be made in Japanese Yen (JPY). An invoice will be sent after the application deadline. Please transfer the payment to the bank account on the invoice within the date mentioned on the invoice. (Approximately one and half month from the invoice date.) Transfer and bank fees are borne by the payee.

Cancellation Policy

Cancellation or changes to your original booking must be submitted in writing to the 17WCEE Sponsorship / Exhibition Desk.
For those wishing to cancel after submitting an application, please contact the 17WCEE Sponsorship / Exhibition Desk as soon as possible.

Due to the postponement of the conference, we have updated deadline for charging 100% of the cancellation fee (No refund) as below.

Disclaimer Notice

1. The 17WCEE secretariat reserves the right to cancel or postpone 17WCEE or to change the schedule or the venue without prior notice, due to the act of God or on the occurrence of any event of force majeure.
2. In the case of any such contingency happening before the opening day, the 17WCEE secretariat shall refund any Sponsorship or Exhibition fees it will have received before the contingency, less related costs.
3. Any air fares, accommodation fees, and other expenses paid by applicants to Sponsorship or Exhibition shall not be compensated by the 17WCEE secretariat but shall be subject to an agreement between the applicant and businesses in charge.
4. In such a contingency stated above in (1.)
   - If it happens during the meeting: the 17WCEE secretariat shall not refund any Sponsorship or Exhibition fees.
   - If it happens before the opening causing the 17WCEE secretariat to be unable to hold 17WCEE even in fully virtual conference, it shall refund Sponsorship or Exhibition fee in principle excluding related costs.
   However, when further postponement, change in 17WCEE duration and/or change of the venue cause applicants to be unable to participate in the conference even in fully virtual conference, the 17WCEE secretariat shall refund any Sponsorship or Exhibition fees only to such an applicant who desires a refund.
5. No damages or compensation, except the refunding of Sponsorship or Exhibition fee as stated above in (2.), shall be recovered from the 17WCEE secretariat.

• The invoice for this application will be issued including sales tax.
• Applications will not be accepted after the application deadline.
